Marketing Lead Times and Deliverables

You can find the anticipated time frames for planning, creating, and delivering each type of marketing deliverable below. This timeline does not account for printing and/or implementation, which is the responsibility of individual units. 

Digital Marketing and Communications

Description: Graphic used in emails and online newsletters.

Lead time: 5-7 business days

Lead time: 15-21 business days

Description: A set of coordinated emails that are sent at strategic times to achieve a specific outcome. Goals, objectives, and key performance indicators (KPIs) must be established during the campaign planning process. 

Lead time: 14 – 28 business days

Description: If you would like to have your content shared on the University Life social media accounts, please send us the original graphic(s) and caption for Instagram as well as repost/re-Tweet links for Facebook and Twitter.

*Notes:

  • For Instagram, all event and resource-related content will be posted as Instagram stories.
  • Posts that do not include all of the information students need to attend the event or utilize the resource will not be shared.  

Lead time: 14 days prior to post date

Description: A series of coordinated social media content that is posted at strategic times to promote an event or initiative, to raise awareness about important information, or to achieve a concrete and defined goal.

Lead time: 7 – 14 business days

Description: Graphic used on websites including hero images, web banners, master sliders, and thumbnails. When requesting website graphics, please include the dimensions needed for your website.

Lead time: 5 – 7 business days

Description: Updates resulting in a new look and feel of your website. Your website redesign may include:

  • Reconfiguration of the website, including an updated structure, navigation, and format
  • New graphics and images
  • Updated copy (provided by stakeholder)

Lead time: 1.5 – 2 months

Description: The compilation of multiple video clips into one continuous video.

*Units are responsible for providing video footage or coordinating the video shoot with a videographer. Project timeline begins once all footage is provided.

Print Marketing

Description: A printed piece of collateral, typically larger than a flyer, that includes information regarding a specific event. Event posters are typically posted in public spaces to raise awareness about the event.

Lead time: 1.5 – 2 months

*Assumptions:

  • Stakeholders will provide finalized copy
  • Final timeline varies by # of pages and # of approvers
  • Final delivery date will be determined during project kick-off meeting

Brand Marketing

Description:

Determining the look and feel for major events and initiatives.

Description:

The deliverables for a brand strategy and audience analysis request include:

  • Values and value statement
  • Mission
  • Story
  • Brand positioning
  • Brand messaging guidelines
  • Personas
  • Pain points

Lead time: 4 – 6 months

This timeline includes:

  • Discovery meeting
  • Staff/faculty workshops to discuss new brand strategy (values, mission, story, positioning, messaging)
  • Staff/faulty workshops for audience analysis
  • Student focus groups for audience analysis and feedback on brand strategy
  • Development of concrete value and mission statements, brand positioning, and brand messaging

*Leadership approval process may delay the overall timeline

**This timeline does not include the launch and implementation of the new brand and brand strategy (i.e. website update, social media campaign, email announcement, etc.)

Lead time: 6 – 8 months
